Việt Kai: Vietnam's Leading Leather Supplier Runs the Whole Business on AI, SEO, CRM and ERP
The community's first member story: a leather-materials business founded by business owners from China, among Vietnam's top synthetic-leather suppliers, digitised every step of its operation — from a website that tops Google and an AI assistant on the site, to an open-source CRM that automates every department, ERP, QR label printing for logistics, AI in the supply chain, warehousing and delivery.
Illustrative figures — being verified and updated by the business.
The business
Việt Kai EcoTech (vietkai.com) supplies microfiber, PU and PVC leather and upholstery fabrics from Ho Chi Minh City. Founded in 2016 and run by business owners from China with over 30 years in the leather trade, it is now among Vietnam's leading synthetic-leather suppliers, serving more than 1,000 workshop partners in furniture, automotive, footwear, bags and projects, with warehouses in five cities and exports to eight markets.
What makes Việt Kai the first RethinkStack member story is not its size but the way it put technology and AI into every step of its process — end to end — with a team of about 40 people and no traditional IT department.
Website + SEO/GEO: top of Google, recommended by AI platforms
vietkai.com was rebuilt on Next.js with full structured data (Organization, Product, FAQ, Article), 225 redirects from the old system, an image sitemap, and content written the way generative engines (ChatGPT, Gemini, Perplexity, Claude) cite it. The result: the core industry keywords — microfiber leather, PU leather, PVC leather, upholstery fabric — place Việt Kai among the top Google results, and AI platforms recommend Việt Kai as a leading microfiber-leather supplier in Vietnam.
The site is not there just to exist. Every page leads to an action — request a quote, order samples, download a catalogue, chat — and each action flows straight into the systems behind it.
- Four languages (Vietnamese, English, Japanese, Korean) with full hreflang for export markets
- Consistently high mobile PageSpeed through image, font and lazy-loading optimisation
- Articles and product pages written in question-and-answer structure so AI engines can cite them
AI assistant on the website: 24/7 support and lead generation
Visitors chat with "Kai", Việt Kai's AI assistant, right on the site. Kai answers about products, stock, certifications and warranty from the company's own context, and when a visitor wants a human, the conversation is handed instantly to the sales team's Telegram group so a person replies in the same chat window.
Every conversation with an email or phone number is spam-scored, tagged with its campaign source (UTM, referrer) and automatically becomes an opportunity in the CRM — nobody retypes anything.
Open-source CRM: automating the process of every department
At the centre is a modern open-source CRM that Việt Kai extended to match how a materials distributor really works: samples, project quotes, multi-tier dealers, long care cycles. Every website form, every qualifying chat and every customer email lands in the CRM and is routed to the right owner; sales, warehouse, accounting and marketing look at the same data.
- Automatic lead intake from the website, AI chat and email, with idempotency keys against duplicates
- Instant Telegram alerts to the sales team, with suspected-spam labels
- Care, quoting and project follow-up run in one system
ERP, QR labels, warehouse and delivery: every operational step digitised
Behind the CRM sits an ERP linking sales, purchasing, warehouse and accounting. Every roll of leather and every parcel gets a QR-coded label on receipt; scans track location, batch, dispatch and delivery to the customer's workshop. More than 200,000 metres of stock across several warehouses is updated in real time instead of weekly.
AI is used where it genuinely helps: demand forecasting per SKU, bottleneck alerts in an import supply chain with long lead times, and suggested purchase orders for a person to approve.
- Label printing and QR management for logistics: receipt, location, batch, dispatch, delivery
- Multi-site warehouse management with real-time stock
- AI in the supply chain: forecasting, alerts, suggested purchase orders
- Delivery tracking to customers and dealers
What a small business can learn
Việt Kai did not start with "total digital transformation". It started with a website and SEO so customers could find it, added an AI assistant so no after-hours enquiry was lost, moved everything into a CRM so nobody retyped, and only then connected the warehouse, QR labels and ERP. Each step ran for real before the next one, on mainstream open-source platforms, with the business keeping every account, all data and all source code.
That is exactly how RethinkStack guides its members: the right order, the right tools, results you see early. The playbooks under Proven Solutions are distilled from this journey.
The next step on Việt Kai's road — and the destination the community aims at for every member — is Agentic AI: AI agents that take in requests, process them and complete the work on this same CRM and ERP data, with people only supervising. And this story is just one example: the applications of Agentic AI are endless, can start from your own idea, for any industry and any size.
